Photographer Instagram Audience Audits: Who Actually Sees Your Work

When several people touch the same brand account, small oversights pile up fast. A former contractor keeps access. A community manager misses spam in message requests.

A monthly checklist keeps this from quietly turning into a real problem.

    Start with who has access

Permissions get handed out to contractors, designers, and interns as teams scale. People move roles or leave, but their access often just stays active.

Go through Meta Business Manager and confirm everyone listed still needs to be there. Full admin access should sit with one or two senior people, not the whole team.

Then check Instagram's security settings for logged-in devices. Kill any session tied to unfamiliar hardware or a location your team doesn't operate from, and refresh your 2FA recovery codes while you're at it.

Standardize how you pull audience data

If different team members run ad-hoc reports through whatever tool they prefer, your numbers won't agree with each other.

Assign one person to pull the official data export from Instagram's settings on a fixed date each month. It's the one source that isn't skewed by which dashboard someone happened to use.

ByeBud processes that export locally in the browser, so anyone on the team can check follower changes and non-reciprocal accounts without the master account's credentials touching a third-party server. Archive the raw files somewhere shared so you have real history, not just this month's snapshot.

    Check what's still connected

Social listening tools, scheduling software, asset libraries — team members connect these during campaigns and forget about them once the campaign ends.

Go into Apps and Websites and clear out anything no longer in active use.

If you work with external creators, also check Branded Content and Partner Approvals. Leaving old creators approved after a contract ends lets them tag your account on paid posts without your sign-off — a real legal risk, not just tidiness.

    Review your moderation setup

With multiple admins responding to comments and DMs, consistency slips without regular upkeep.

Update your hidden-words filter with whatever new spam patterns or fraudulent links showed up in the last month. Go through your Tagged tab and hide anything irrelevant that others have tagged you in.

Check your pending DM requests and hidden inbox too — legitimate customer questions sometimes get caught in the same filter as spam.

Look at who your brand follows

Team members follow accounts for research or short-term collabs and don't always clean up after.

Go through your following list and remove anything inactive, off-brand, or tied to a project that's wrapped. Then use your export to check actual retention — new followers against departed ones, by cohort — rather than reacting to daily swings that don't mean much on their own.

Write it down somewhere the team can see

An audit that lives in one person's head doesn't help anyone else.

Log the date, who ran it, what sessions got revoked, what moderation keywords changed, and what retention looked like. When someone new joins or an agency changes hands, this record shows exactly how the account's been run.
