    When several people touch the same brand account — agencies, contractors, regional managers — small oversights pile up fast. A former contractor keeps access. A community manager misses spam sitting in message requests. Someone judges growth off a raw follower total instead of actual retention. A monthly checklist keeps this from quietly accumulating into a real problem.

    Start with who actually has access. Permissions get handed out to contractors, designers, and interns as teams scale, but people move roles or leave, and their access often just... stays active. Go through Meta Business Manager and confirm everyone listed still needs to be there, with permission levels matching their actual job — full admin access should sit with one or two senior people, not the whole team. Then check Instagram's own security settings for logged-in devices, and kill any session tied to unfamiliar hardware or a location your team doesn't operate from. Refresh your 2FA recovery codes while you're at it and keep them in a proper password vault, not a shared doc.

    Standardize how you pull audience data. If different team members are running ad-hoc reports through whatever tool they prefer, your numbers won't agree with each other. Assign one person to pull the official data export from Instagram's settings on a fixed date each month — it's the one source that isn't skewed by which dashboard someone happened to use. Update your hidden-words filter with whatever new spam patterns or fraudulent links have shown up in the last month. Go through your Tagged tab and hide anything irrelevant or low-quality that others have tagged you in. And check your pending DM requests and hidden inbox — legitimate customer questions sometimes get caught in the same filter as spam.

    Look at who your brand follows, not just who follows you. Team members follow accounts for research or short-term collabs and don't always clean up after. Go through your following list and remove anything that's inactive, off-brand, or was only relevant to a project that's since wrapped. Then use your export to check actual retention — new followers against departed ones, by cohort, over the month — rather than reacting to daily swings that don't mean much on their own.

    Write it down somewhere the whole team can see. An audit that lives in one person's head doesn't help anyone else. Log the date, who ran it, what sessions got revoked, what moderation keywords changed, and what the retention numbers looked like. When someone new joins the team or an agency changes hands, this record is what shows exactly how the account's been run — instead of everyone just hoping nothing slipped through.
